2.1 Information You Provide Directly

When you use Rosevine, you may provide us with:

• Account information: name, email address, password, profile photo
• Authentication identifiers: if you sign in with Google or another provider, we receive your email and basic profile information from that provider
• Family circle information: names, relationships, and contact details of family members you invite to your circle
• Tribute content: the answers you provide when generating an AI tribute letter, including written text and optional voice recordings
• Daily check-in content: text messages, voice notes, photos, and reactions you send through the Service
• Payment information: if you subscribe, payment is processed by Stripe; we do not store your full credit card details on our servers
• Customer support communications: if you contact us, we keep records of those messages

2.2 Information Collected Automatically

When you use the Service, we automatically collect:

• Device and usage data: IP address, browser type, operating system, device identifiers, pages viewed, features used, and timestamps
• Cookies and similar technologies: to keep you signed in, remember preferences, and analyze how the Service is used
• Push notification tokens: if you enable notifications, we store the token issued by your browser or operating system so we can send you reminders and alerts

We may receive information about you from:

• Authentication providers (e.g., Google) when you sign in
• Payment processors (e.g., Stripe) confirming successful transactions
• Analytics providers (e.g., PostHog) measuring how the Service performs

• Generate AI tribute letters and conversational responses based on inputs you provide
• Send daily reminders, family alerts, and notifications you have opted into

• Detect and prevent fraud, abuse, and security incidents
• Comply with legal obligations

We do not sell your personal information.

Rosevine uses artificial intelligence services (currently Google Gemini, with OpenRouter as a backup) to:

• Generate tribute letters from the information you provide
• Power conversational features in the app
• Transcribe voice notes (using OpenAI Whisper or equivalent)

When we send your inputs to these AI providers, your content is processed under the providers’ own terms and privacy policies. We do not use your personal content to train AI models without your explicit consent.

We share your information only as described below.

5.1 With Your Family Circle

Content you create within a family circle (check-ins, voice notes, reactions) is shared with the other members of that circle. This is the core function of the Service.

5.2 With Service Providers

We work with third-party companies that help us operate the Service. These providers are bound by contract to protect your information and use it only for the purposes we specify. They include:

• Hosting and database: Vercel, Supabase
• Payments: Stripe
• AI processing: Google (Gemini), OpenRouter, OpenAI (Whisper)
• Analytics: PostHog
• Email and messaging: HighLevel, Twilio
• Authentication: Google

5.3 For Legal Reasons

We may disclose your information if we believe in good faith that disclosure is necessary to comply with a legal obligation, protect our rights or property, prevent fraud, or protect the safety of our users or the public.

5.4 In a Business Transfer

If ENGAGEM e-Marketing Inc. is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such change.

Rosevine is operated from Canada, and we use service providers located in the United States and other countries. By using the Service, you understand that your information will be transferred to and processed in countries that may have different data protection laws than your country of residence.

We rely on standard contractual clauses and provider certifications to safeguard international transfers where required.

We keep your information for as long as your account is active or as needed to provide the Service. When you delete your account:

• Your profile, check-ins, and personal content are deleted within 30 days
• Tribute letters you have generated may be retained in anonymized form for product improvement
• Some information may be retained longer if required by law (e.g., tax, accounting, or fraud-prevention obligations)

You can request deletion at any time by emailing rosevine@engagem.ca.

Depending on where you live, you may have the following rights regarding your personal information:

• Access: request a copy of the information we hold about you
• Correction: ask us to correct information that is inaccurate
• Deletion: request that we delete your information
• Portability: receive your information in a portable format
• Objection or restriction: object to or restrict certain uses of your information
• Withdraw consent: where we process information based on consent, you can withdraw it at any time

Specific Notes by Region

• Canada (PIPEDA): You may file a complaint with the Office of the Privacy Commissioner of Canada if you are not satisfied with our handling of your information.
• California (CCPA/CPRA): California residents have additional rights, including the right to know what personal information we collect and the right to opt out of the “sale” or “sharing” of personal information. We do not sell or share personal information for cross-context behavioral advertising.
• European Economic Area / United Kingdom (GDPR): You may lodge a complaint with your local data protection authority. Our legal bases for processing include contract performance, legitimate interest, consent, and legal obligation.

Rosevine is intended for adults aged 18 and older. We do not knowingly collect personal information from children under 13 (or under 16 in jurisdictions where that is the relevant threshold).

If you believe we have collected information from a child, contact us at rosevine@engagem.ca and we will delete it.

We use reasonable technical and organizational measures to protect your information, including encryption in transit, access controls, and secure infrastructure providers. However, no system is perfectly secure. You are responsible for keeping your password confidential and notifying us if you suspect unauthorized access.

We use cookies and similar technologies to operate the Service and analyze usage. You can control cookies through your browser settings. Disabling cookies may affect functionality.

We do not use cross-site advertising trackers or behavioral advertising networks at this time.

The Service may contain links to third-party websites. We are not responsible for the privacy practices of those sites. Review their policies before providing them with information.

We may update this Privacy Policy from time to time. When we do, we will update the “Last Updated” date at the top. If changes are material, we will notify you by email or through the Service.

Your continued use of the Service after a change takes effect means you accept the updated policy.
